This blog post unpacks how myRentokil can help you ‘win’ at your audits, both internal and external, by providing everything you need in one convenient online location.
Passing your audits is important, and Rentokil firmly believes that integrated pest management is a partnership. We want to be a part of your success and walk this journey with you. But preparing for your audit can be a stressful experience, especially when you have multiple elements – including pest control, health and safety, purchasing, legal, and other third parties – to manage.
That’s why Rentokil has designed an online pest management reporting system that has all your compliance requirements filed safely online, ready for you to access anywhere, any time. This is myRentokil.
How does myRentokil help you with your pest control audits?
myRentokil has all the components of a detailed pest control file, aligned with relevant legislation and regulations, in one real-time online reporting system.
The documentation required for pest control audits is both specific and vast. Our online system was created to ensure that the information you require is readily available and easy to find. myRentokil was designed with your needs at the core of all of its functionalities.
Here are 3 important and useful myRentokil functions that will assist you during the audit process.
1. myRentokil Site Summary
Like with anything, a quick overview of lengthy data is always welcome! The Site Summary does just that, offering a bird’s-eye view of your site.
This page provides an overview of the following:
- the number of visits in the last 12 months,
- visits with noted activity for the last 12 months and,
- any recommendations noted.
This comes in handy when you want a summary of the site’s progress when it comes to visits, infestations that need attention, and any recommendations that you need to know about
2. Details of the previous visit
This includes the name and P number of the technician that completed your previous service, and a timestamp of when the service started and when it was signed off as completed. In addition, it will also include any logged data that the technician may have noted on his visit. This may include recommendations, tasks, and any pests that were found on-site during the visit.
3. Contract/Site details
This information will include the location of the site and the contract number, as well as the specifics assigned to your sites – such as the number of units on site ( bait boxes, fly units) and their service frequencies.
How does this assist you with your audit?
If you want to be ready for your audit period, I can safely say that having a period view of your site and any developments that have taken place there will definitely benefit you.
This application increases the number of channels you have to a successful pest control programme, allowing you to have total transparency of your site from your internet-connected device, wherever you may be.
myRentokil Documents
You are required to provide a large number of documents in order to pass your audit. In turn, there are also a large number of documents that are required of Rentokil as your pest control provider of choice.
This means that in a traditional paper-based file, documentation will take up the majority of the space. With myRentokil everything you need is uploaded and readily available for viewing, downloading, or printing (as you prefer or require).
Usually, auditors will require a copy of your contract, as well as company documents such as a letter of good standing, company liability insurance certificate, SAPCA certifications etc. The list goes on, with additional operation documents required, such as a list of pesticides, material safety data sheets, product labels, PCO certificates, contact details, etc.
With so many documents required, myRentokil means that you can rest assured that they are loaded online, ready when you need them.
Reporting tailored to your specifications
myRentokil has many functions, but to assist you with your audits, our online reporting system has a host of automated reporting tools that can really benefit you.
Firstly, depending on your audit requirements, you may be required to produce a trend analysis report on pest activity on your site, based on data captured on your site. myRentokil completes this task automatically and is able to filter information depending on your needs.
In addition to this, myRentokil has the capability to automatically email you the reports you need on a frequency you determine, be it weekly, monthly, or quarterly. Once the reports are scheduled with the type of data you require, you can then decide in what format you would like to receive the data: PDF or Excel (my favourite option), and you will receive it via email thereafter. There is even an option for a full audit report! How handy is that?
So much functionality
I’m not even scratching the surface of the capabilities of myRentokil. There is so much more to this application than I’ve mentioned in this blog, but I am trying to highlight those features you would use for audit purposes specifically.
There are a number of functions that are beneficial to you as a user and can really make managing pest control a pleasure. From my personal experience with myRentokil, I’ve been able to assist other users with pest control concerns and help them through their audits.
I know that audits can be a stressful process, as necessary as they may be. myRentokil was designed to ensure that you are always prepared, even for unannounced audits.
So what else does myRentokil offer?
Just in case that the above doesn’t put your mind at ease, there is also:
